Reporting directly to the University Registrar, provides proactive support and guidance across all West Coast University campuses in the areas of student registration, maintenance of student records, class scheduling development, management of student grades and related functions aligned with best practices as defined by the American Association of Collegiate Registrars and Admissions Officers ( AACRAO). This role will be instrumental in making best practice recommendations on how to scale operations for the future, with a focus on the student experience.


  • Provides support to the University Registrar in all function related to the Office of the Registrar
  • Works closely with campus registrars in collection and dissemination of data, providing academic and student data for institutional research
  • Provide onboarding training to new Campus Registrar recruits in the Office of the Registrar
  • Regularly review and audit reports to ensures the integrity of the University’s academic and student record keeping following best practices.
  • Monitors and audits the practices of the registrar function at each campus to ensure consistency and quality.
  • Recommends updates for the Registrar Manual regarding processes and procedures to ensure best practices and consistency
  • Reviews class scheduling practices on an ongoing basis to ensure efficient use of classroom and academic facilities.
  • Participates in and/or directs various personnel functions including, but not limited to, orientation,  training and development.
  • Provides guidance to the campuses in developing a culture of excellence while simultaneously providing exceptional student service. 
  • Adheres to University policies and procedures and provides leadership to all staff through guidance and example.
  • Works with University Administration staff, attends meetings, provides reports and/or information as needed.
  • Participates in professional development in order to maintain an understanding of current ideas, research and practices, attends meetings, workshops and seminars to enrich personal growth, knowledge and skill in management development.
  • Maintains professional appearance for position and serves as a role model, leader and mentor to the campus community.
  • Conducts job responsibilities in accordance with the standards set out in the University’s Code of Ethical Conduct, Compliance Agreement, Sexual Harassment Policy or any of its policies and procedures, applicable federal and states laws, and applicable professional standards.

  • Maintains regular and timely attendance, reports to work as scheduled and assures time worked and/or time-off is recorded properly.
  • Maintains confidentiality of all student, associate, and/or University information as required.
  • Exercises care, proper use and maintenance of department equipment and supplies and identifies unsafe conditions and makes appropriate adjustments.
  • Maintains order, cleanliness and safety at work.
  • Performs other duties as assigned.


  • Bachelor’s degree required


  • A minimum of three to five years of successful experience as a registrar at a regionally accredited institution of higher education is required.
  • Experience in working with American Association of Collegiate Registrars and Admissions Officers (AACRAO) and associated standards with preference given to those who are currently active members of AACRAO.
  • Experience in process improvement of the registrar function.
  • Experience with student management systems and associated technology.
  • Knowledge of regulatory requirements and standards associated with the registrar function. 
  • Experience with MS Office Suite and CampusNexus
  • Knowledge of applicable databases and computer application systems to supply the most accurate information, reports and projections.
