Summary:

  • Reporting to the University Librarian and working closely with academic programs, instructional design and other departments, coordinates and communicates the adoption, procurement, and distribution process of print and digital curricular materials.
  • The Senior Curricular Materials Coordinator provides leadership and oversight during new program development as well as major program level curriculum changes.
  • Curricular content responsibilities include serving as the coordinator for the Virtual Bookstore, securing traditional textbooks and digital resources for students, connecting faculty with publishers, collaborating with publishers and vendors to ensure content is synced with the learning management system, maintaining records of copyright permission requests, and monitoring industry trends and products for opportunities to enhance student learning.
  • The Senior Curricular Materials Coordinator establishes and maintains relationships with third party vendors, such as the virtual bookstore, publishers, and curriculum material providers.
  • The position maintains financial and operational responsibility of curricular materials.

Responsibilities:

  • Serves as subject matter expert for the adoption, procurement and distribution of curricular materials.
  • Collaborates regularly, Academic Programs and Online Operations departments, to ensure faculty and students are provided a full range of relevant and current products as well as services available.
  • Encourage and maintain ongoing communications with instructional academic departments to assure all requisitions for course materials are provided to third party bookstore vendors on time.
  • Establish and manage vendor relationships, provide direction, and oversees the purchase of course related academic materials including access codes and digitally delivered resources.
  • Supervise the maintenance of accounting records for operation of curricular materials adoption, such as invoices and sales reports.
  • Develops, facilitates and standardizes the curricular content adoption and implementation process for on-ground, blended, and online courses. Reviews process with Program Director/Dean/Chair, Compliance, Financial Aid, Finance, Accounting, and the University Librarian.
  • Resolves customer service issues (i.e., order issues, wrong textbooks for students, errors on billing) between publishers, faculty, students, and vendors in a satisfactory manner.
  • Documents, troubleshoots, and seeks to resolve issues with publishers and textbook vendors related to the incorporation of digital course materials into the online learning management system.
  • Implement and effectively market sales and promotional activities for students in partnership with publishers and Virtual Bookstore vendor (Barnes & Noble College).
  • Pursues opportunities and provides guidance in strategic eBook and digital course material initiatives to continuously enhance, facilitate, and assess student learning.
  • Maintains and further develops the established historical archive of course material adoptions for institutional documentation purposes.
  • Establishes, maintains, and develops a repository of copyright permission requests for materials housed in the learning management system.
  • Direct and prepare reports and records. Conduct special studies, reports, and analysis as required.
  • Performs data entry and routine clerical tasks with a high level of accuracy in a timely manner.

Education:

  • Bachelor’s degree in business, project management, curriculum development/support, education, or related field required.

Knowledge/Experience:

  • Three – five years of course materials experience in higher educational setting or publishing environment.
  • Current working knowledge of the textbook and course materials industry including open educational resource initiatives such as MERLOT Library and Information Services portal for the California State University system. 
  • Knowledge of various content delivery methods (traditional print textbooks, rental textbooks, buy-back plans, eBook, integrated e-text, digital course packs).
  • Knowledge of currently available e-readers and file formats.
  • Understanding of purchasing principles and practices.
  • Working knowledge of the Fair Use Act and Copyright law.

Qualifications/Skills:

  • Experience with MS Office Suite, internet browsers, email providers, Adobe software, uploading and downloading files.
  • Ability to manage assignments and ensure tasks are appropriately implemented and completed accurately within an established timeframe to meet department goals and outcomes.
  • Ability to demonstrate excellent customer service skills and maintain cooperative and effective working relationships with others.

Preferred Qualifications:

  • Experience with technologies and tools that deliver e-learning content such as course/learning management systems.
  • Ability to communicate effectively at all levels within the organization.
