Legal Support Specialist

Performs specialized administrative and legal support for the Legal/Government Affairs Department including review and preparation of legal documents and correspondence, coordinate information requests and follow-ups, track and organize outside legal billing, maintenance of legal files, archiving files, basic contract review, process expense reports and analysis and management of Philanthropic Giving Program.
Essential Functions and Responsibilities
- Receives, screens and routes incoming telephone calls. Places calls, receives visitors, arranges appointments and manages schedule for General Counsel/Vice President, Government Affairs and other attorneys as needed.
- Proofreads, drafts, edits, and formats various legal documents, correspondence, organizational forms, and handbooks for final review by the General Counsel / Associate General Counsel.
- Assists and provides administrative support for General Counsel/Vice President, Government Affairs and the Associate General Counsel, including helping managing calendars and expense reports.
- Receives and distributes incoming mail and assembles correspondence for mailing. Arranges and confirms travel reservations.
- Performs initial review process and internal routing on projects requiring cross-departmental review such as contracts, pleadings, media pieces, marketing collateral.
- Ensures timely processing of invoices and payments relating to settlements and pending litigation.
- Monitors and completes annual report filings for multiple states and school entities.
- Conducts legal research including review and analysis. Performs legal research using internal and external libraries and resource databases. Compiles and records findings for use by General Counsel/Vice President, Government Affairs in preparing legal opinions and other responses to legal inquiries.
- Assists with litigation/arbitration/mediation preparation including file analysis and data gathering such as: complaints, summonses, judgments, motions, declarations, depositions, trial testimony, discovery documents such as interrogatories for each case. Develops and maintains files and reports.
- Prepares documents to respond to subpoenas and to comply with other requests for official records.
- Gathers data for and compiles quarterly lobbying reports.
- Submits and monitors new vendor requests for Legal and Government Affairs to AP software.
- Performs routine contract administration support. Drafts standard non-disclosure agreements and prepares various reports. Develops and maintains procedures for tracking company contracts.
- Manages Philanthropic Giving Program. Routes and tracks Donation Requests for both schools. Reviews and edits Donation Request forms. Submits completed Donation Requests for approval by Vice President, Clinical Operations and Vice President, Philanthropy. Submits completed check requests for approval by General Counsel. Tracks donation deadline for each request to ensure donation deadlines are met. Drafts enclosure letters to accompany donation check to be signed by Vice President, Philanthropy. Mails check packages using trackable carrier. Provide quarterly budget reports to Vice President, Clinical Operations and Vice President, Philanthropy.
- Performs routine contract administration support. Drafts standard non-disclosure agreements and prepares various reports. Develops and maintains procedures for tracking company contracts.
- Handles court and arbitration filings and service of process, and coordinates with third party vendors and filing services.
- Supports with other ad hoc requests and projects.
- Conducts job responsibilities in accordance with the standards set out in the Company's Code of Ethical Conduct, Compliance Agreement, Sexual Harassment Policy or any of its policies and procedures, applicable federal and states laws, and applicable professional standards.
- Maintains regular and timely attendance, reports to work as scheduled and assures time worked and/or time-off is recorded properly.
- Maintains established department policies, procedures and attends in-services and other required meetings.
- Maintains confidentiality of all student, associate, and/or company information as required.
- Exercises care, proper use and maintenance of department equipment and supplies and identifies unsafe conditions and makes appropriate adjustments.
- Maintains order, cleanliness and safety at work.
- May perform other duties as assigned.
Preferred Education, Certifications and Licensures Preferred Experience and Skills
- Knowledge of corporate and regulatory matters; legal background is preferred.
Required Education, Certifications, and Licensures
- Bachelor's degree in Humanities, English, Communications, Political Science, History or a related field required.
Required Experience and Skills
- One to three years of progressive legal support experience or administrative experience in a highly regulated environment.
- Proficient command of grammar, punctuation, spelling, and correct usage of the English language.
- Comprehensive knowledge of office systems, practices, and administration.
- Knowledge of principles and practices of classifying, indexing, processing, retrieving, and controlling a large volume of records.
- Skills: Ability to demonstrate strong professional written and verbal communication and interpersonal skills.
- Proficient in all Microsoft Office applications, particularly Outlook, PowerPoint, Excel and Word.
- Ability to exercise good judgment.
