Essential Functions & Responsibilities:
- Level Description: Supervises support level employees. Sets day-to-day operational objectives for team. Problems faced may be difficult but typically are not complex. Ensures policies, practices and procedures are understood and followed by direct reports, customers and stakeholders.
- Organizational Impact: Accountable for scheduling and monitoring work of others on a daily basis to meet volume, timing and quality standards of the function or unit. Plans and establishes operational objectives for a team of support personnel within a clearly defined job area. Delivers operational results that have moderate impact on the achievement of departmental results. Assigns tasks to a team to achieve operational targets, service standards, etc.
- Innovation & Complexity: Responsible for making adjustments or recommended enhancements in systems and processes to solve problems or improve effectiveness of job area. Problems faced may be varied, but generally within expected parameters. Problems can generally be resolved through use of policies, procedures and standards.
- Leadership & Talent Mgmt: Coordinates the day-to-day work of others to meet volume, timing and quality standards. May be accountable for communicating expectations and instructions to others, and holding others accountable for required performance. May provide input on performance of team members. Sets objectives for own job area to meet the objectives or goals of projects and assignments.
- Knowledge & Experience: Typically requires knowledge of concepts, principles, and practices in a related field or specialty. Experience leading the work of others is typically preferred. Generally requires a Bachelor's degree. Traditionally requires a minimum of 2 years of related work and educational experience.
- Serves as the official custodian of student academic records for assigned campus.
- Maintains and updates the computerized student information records system in accordance with accreditation and regulatory compliance standards and procedures.
- Processes updates and maintains accurate student statuses within the student information system (drops, Leave of Absences, Graduates, etc.)
- Ensures student and administrative files are stored in accordance with established policies and procedures.
- Conducts student file reviews/audits to ensure that all required documentation has been requested and received. Proactively requests, receives and secures missing documents or records.
- Works closely with the Program Directors and Faculty to ensure the student information system is updated daily with student attendance for each programs. Provides report to Program Directors and Director of Education regarding students that are approaching and/or have violated the established attendance policy.
- Works closely with the Program Directors and Faculty to ensure the student information system is updated at the end of every course or term with student grades for each programs. Provides report to Program Directors and Director of Education regarding students that are approaching and/or have violated the established academic progress policy.
- Performs other duties as assigned.
Minimum & Preferred Qualifications:
Required:
- High School Graduate or equivalent required.
Preferred:
- Associate degree in one of the following or related field preferred.
- • Education
- • Administration
- • Business Management
- • Student Personnel
Experience & Skills:
Required:
- Requires developed skills through application of standards and processes in a specific administrative, technical, and/or operations area. Typically requires 3-5 years of experience and additional vocational or technical education.
- Two to three years of experience in a college Records office involving transcript evaluation, degree audit, storage and maintenance of files, student records, registration, admissions, attendance, grades and record keeping.
- Knowledge of secondary and postsecondary educational programs.
- Knowledge of student information databases and computer application systems to supply the most accurate information, reports and projections.
- Experience with MS Office.
- Knowledge of state, federal and accreditation regulations relating to programs, compliance and other regulatory standards such as BPPE, Title IV, ABHES, and other programmatic accreditation standards.
